PRICE, RESERVATIONS & PAYMENT SCHEDULE
The total cost for all tours is land-only (airfare not included). Initial deposits are non-refundable except in the case of not reaching the minimum number needed for travel (see below). Each tour will have its own payment schedule clearly stated on the tour detail page on this website.
We work with independent travel consultants and agents for the booking and payments of the trips, and you are bound to their payment schedules for any of our tours.
Any independent travel, i.e. travels not on the scheduled itinerary, whether during free time, before, or after the trip, is your financial responsibility.
As you can imagine, there are many expenses and logistics involved in the planning of a trip such as this. Deposits paid to hotels, transport companies, wineries, and other destinations shape the cancellation policy.
The initial down payment is always non-refundable unless the minimum number needed to book a trip is not achieved (and thus announced by The Flying Grape). In that instance, 100% of the down payment will be refunded.
We work with independent travel agencies in the planning of our tours. Please refer to their cancellation policies per tour.
The Flying Grape LLC is not responsible for “acts of God,” unforeseen emergencies, and/or terroristic acts that may delay, postpone, or cancel a tour. Should such unfortunate events arise, please refer to the booking agency for details and resolution.
TRAVEL DOCUMENTS, timelines, airline ticket purchase, packing, etc.
A valid US passport with an expiration date at least 6 months beyond the return date for all US citizens is required. Other nationalities please inquiry with The Flying Grape. If you do not have a passport begin the process now as it may take up to 8 weeks to obtain. The Flying Grape LLC is not responsible for any travel delays based on personal US passport issues or delays.
Airline tickets are entirely your responsibility and must be purchased by you. I highly recommend the services of a licensed travel agent for tickets such as this. The benefits of having somebody “in your corner” should complications arise far outweigh any potential savings of finding an instant best rate on the web. Regardless, transportation to and from the destination is your responsibility.
WINE AND MEALS
Most lunches and dinners will include a good amount of wine (to say the least!) as part of the program, and this will be a reasonable amount of wine for education, fun, and enjoyment. However, a cap on the amount of “program wine” at each meal is at the discretion of The Flying Grape LLC. Beyond the “program wine”, should you wish to enjoy more, it will be your financial responsibility.
PACKING, AND BRINGING WINE HOME
Please pack carefully and if possible minimally. You’ll appreciate hauling as little as possible, as will your fellow travelers. Do your best to pack one carry on suitcase only, plus a small bag or backpack. If traveling with us outside of the United State, please check ahead of time with your cellular provider regarding fees for data and voice while outside of the country. All cellular fees and data fees are your responsibility.
The Flying Grape is not responsible for wine purchased by you during the tour, and not responsible for the importation of said wine back to the United States or any laws associated with said importation. We represent no expectations of what is allowed or not allowed in terms of product, quantity, taxation, fees, etc. This is entirely your responsibility.
Itineraries are subject to change: Wine regions are full of surprises and we need to be flexible enough to take advantage of whatever comes along so that we may provide you with the best possible tour. Uncompleted portions of the tour itinerary are not cause for a refund.
ACCIDENT, DENTAL, AND EMERGENCY
While traveling accidents can happen. You are responsible for health, dental, emergency medical evacuation and repartition expenses. Check with your travel agent and health care provider for details. Please consider buying emergency travel insurance, and inform us of your carrier and contract number.
Any pre-existing physical, mental, or emotional disability that may require attention or treatment must be reported to The Flying Grape prior to the beginning of the tour.
Food allergies: any previously stated food allergies will be conveyed to all restaurants and regarding all meals. The Flying Grape is not responsible for any allergic reactions that occur during the tour.
GENERAL LIABILITY and personal responsibility
You are solely responsible for your own personal actions, health, safety, money, and items of value while on the trip. The Flying Grape LLC is not responsible in any way, shape, or form (including monetarily) for any of your personal items on the tour.
All travelers are expected to act responsibly for the betterment of the trip and the respect of the other travelers. The Flying Grape reserves the exclusive right to expel someone from the tour at any time, without any claims or complaints by you against us.
The tour will be physically and mentally active. For example, depending on the trip, you will be expected to be capable of the following:
- Walk on uneven and challenging European streets, with your suitcase in tow.
- Haul your luggage up four or five flights of stairs if necessary.
- Enjoy the “sounds of the night” out your window be it in the city or the country (some lodging may not have air conditioning as an option).
- Be comfortable for multiple hour walks through cities and vineyards.
- Stay cognizant during wine discussions and presentations even after tasting 20+ wines (and hopefully spitting … please, please, please practice spitting).
- Appreciate and embrace the unexpected and random, be it a flat tire or a change of schedule.
No smoking allowed on the bus, during meals, or in hotels.
